1. Introduction and Scope

This Privacy Policy (“Policy”) is an electronic record in the form of an electronic contract formed under the Information Technology Act, 2000, and the rules made thereunder. The terms “we / us / our / Company / Platform/ “Litelo”, individually and collectively, refer to the entity which owns and operates the Legal Workflow Management System platform https://www.litelo.ai/; and the terms “you / your / yourself / user” refer to any legal person or entity accessing the platform who is competent to enter into binding contracts, as per the provisions of the Indian Contract Act, 1872.

Please read this Policy carefully. By using the platform, you indicate that you understand, agree and consent to this Policy. If you do not agree with the terms of this Policy, please do not use the platform.

This Policy is only applicable to our platform, and not to any other websites or platforms that you may be able to access through links on our platform, each of which may have data collection, storage, and use practices and policies that may differ materially from this Policy. Each time you use our platform, the current version of this Policy will apply. Accordingly, we encourage you to check the date at the top of this Policy each time you visit to ensure you have read the most recent version.

You acknowledge and agree that this Policy and our Terms of Use together constitute a legally binding agreement between you and us. You further acknowledge that no physical or electronic signature is required to make this Policy binding, and that your act of visiting or using any part of the platform constitutes your full and final acceptance of this Policy.

2. Collection, Purpose and Use of Information

We collect and process personal data only for lawful purposes connected with the provision of services, and in accordance with applicable data protection laws. We limit the collection and use of your information to the minimum necessary to deliver superior service to our users. We do not reveal your information to external organisations unless we have previously informed you in disclosures or agreements, have been authorised by you, or are required by law. 2.1 Personal Information

For the purpose of availing any services through our platform, you may be required to provide us with basic personal information, including but not limited to your first and last name, email address, office or residential address, nationality, contact number, and login credentials and passwords (stored in encrypted/hashed form and not accessible in plain text) (individually and collectively referred to as "Personal Information"). You are required to provide information about yourself that is true, accurate, current, and complete in all respects. The user may review the information provided and ensure that any information found to be inaccurate or deficient is corrected or amended as feasible; however, we shall not be responsible for the authenticity of the information provided by the user.

2.2 Payment Information

If you choose to avail any of our services through the platform, our third-party payment processors will collect your payment information. We do not store your raw payment card information in our systems.

2.3 Communications

Communications you send to us, including but not limited to requests for customer support, technical questions, feedback, or any other communication in relation to the services provided through our platform, may be collected and retained to facilitate support and service improvement.

2.4 Platform Usage Information

The platform may automatically collect certain technical and usage-related information about the user based upon your IP address and your behaviour on the platform, and you expressly consent to the same. This information is used to conduct internal research on user demographics, interests, and behaviour to enable us to better understand and cater to the interests of our users. Such information may include the URL you visited prior to accessing our platform, the URL you subsequently visit, your device and web browser information, and your IP address.

2.5 Device Information

We may collect information about your mobile device, laptop, desktop, or tablet, including but not limited to the hardware model, operating system and version, software and file names and versions, preferred language, serial number, device motion information, and mobile network information. This information is important for maintaining user experience and the future performance of the platform.

2.6 User Account Data

While you may browse some sections of the platform without being a registered user, certain activities require you to provide valid Personal Information for the purpose of registration and account management. We collect and store login credentials (passwords are stored in encrypted/hashed form only), profile information, and account preferences.

2.7 Cookies and Web Beacons

Cookies are text information files placed on your device when you visit the platform. Our platform uses both permanent and temporary cookies to enhance user experience, analyse page flow, measure promotional effectiveness, and promote trust and safety. You hereby expressly consent to the placement of such cookies. Certain features of the platform are only available through the use of cookies. We also use Web Beacons in limited circumstances. Web Beacons are tiny graphic image files embedded in a web page or email that send back to their home server information from the user's browser. Web Beacons allow us to statistically monitor how many people are using our platform or opening our emails and for those purposes. The information collected by Web Beacons is anonymous and non-personal in nature.

2.8 Platform Analytics

We may use third-party analytics services in connection with our platform (including Google Analytics). These analytical services do not collect Personal Information that you do not voluntarily enter on the platform. They neither track your browsing habits across websites nor your usage of other applications that do not use their services. We use the information collected from these services to identify usability issues and improve the platform. The analytics data will not identify you personally.

2.9 Sensitive Personal Data or Information

For the purpose of providing services through the platform, we may in certain circumstances require the collection of Sensitive Personal Data or Information (“SPDI”) as defined under the applicable data protection laws including the Digital Personal Data Protection Act, 2023, the Rules framed thereunder and Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011. Such collection will only occur to the extent strictly necessary for the services being rendered.

We do not knowingly collect or save any information of persons below 18 years of age. The platform is intended only for users who are competent to contract under the provisions of the Indian Contract Act, 1872.

By using the platform, you consent to the data collection practices described in this Policy. You have the right to withdraw your consent at any time under applicable data protection laws, including the right to access, correction, and erasure of your personal data. To withdraw your consent, please write to us at admin@litelo.ai. Upon receipt of a withdrawal request, we shall, unless otherwise prohibited by law, court order or authority, erase and destroy all data, records, and correspondence collected or retained for the purpose of providing services through the platform that are no longer required to be retained. Withdrawal of consent will not affect the lawfulness of processing carried out prior to such withdrawal and may result in our inability to provide certain services to you.

We do not sell, exchange, transfer, or give your information to third parties for any reason whatsoever, except to the extent required for fulfilment of our services or as described below. We may share your information in the following circumstances:

In response to a request for information by a competent authority if we believe disclosure is in accordance with, or is otherwise required by, any applicable law, regulation, or legal process;
With law enforcement officials or government authorities if we believe your actions are inconsistent with our Terms of Use or this Policy, or to protect the rights, property, or safety of us or others;

We may share de-identified or aggregated personal information with third parties to enable them to run statistical research on individual or aggregate trends; and
With our business partners who assist us by performing core services related to our operation of the platform (such as cloud hosting, payment processing, data storage, and security) and such business partners shall be bound by contractual obligations to uphold the same standards of security and confidentiality that we have promised to you in this Policy, and they will only use your personal information to carry out their specific business obligations to us.
With associated professionals, advocates, legal practitioners, service providers or other stakeholders engaged in connection with legal workflows, to the extent necessary for the provision of services.

5. Security Practices and Procedures

We have implemented appropriate managerial, technical, operational and physical procedures to safeguard the information of the user and to maintain data security. These safeguards take into account the sensitivity of the information that we collect, process and store and the current state of technology.

Our hosting services maintains its systems in accordance with reasonable industry standards to reasonably secure the information of its customers, such as using SSL encryption in certain places to prevent eavesdropping and employing up-to-date software on the server. We utilize services of a third-party payments processor which employs appropriate safeguards for the purpose of payments made on the platform.

We follow generally accepted industry standards to protect the information submitted to us. However, no method of transmission over the internet, or method of electronic storage, is 100% secure. Therefore, while we strive to use commercially acceptable means to protect the information of the users, we cannot guarantee its absolute security. We assume no liability or responsibility for disclosure of the user’s information due to errors in transmission, unauthorized third-party access, or other causes beyond our control.

6. Data Retention

We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, including for legal, regulatory, contractual or operational requirements. Certain data, including case records and audit logs, may be retained for extended periods in compliance with applicable laws or for enforcement purposes.

7. Grievance Redressal

We have appointed a Grievance Officer whose details are below to address any questions, concerns or complaints which you may have relating to this Policy and the processing of your information.

9. Governing Law and Jurisdiction

This Policy shall be governed by and construed in accordance with the laws of India. Any disputes arising in connection with this Policy shall be subject to the exclusive jurisdiction of the courts located at Mumbai, India.
